Terms of Service

1. Acceptance of Terms
By accessing and using Pro Space Platform, you agree to be bound by these Terms of Service. If you do not agree, please do not use our platform.
2. User Accounts
You are responsible for:
- Maintaining the confidentiality of your account credentials
- All activity that occurs under your account
- Notifying us immediately of unauthorized access
- Providing accurate and complete information during registration
3. Booking and Service Terms
Customers: Bookings are confirmed when payment is received. Cancellation policies are set by each salon and displayed at booking time.
Service Providers: You agree to deliver services as described. Cancellations must follow your published policy. Failure to provide services may result in refunds and account suspension.
No-Show Policy: A no-show charge may apply if you fail to attend a confirmed booking within the cancellation window. Your card is saved for this purpose.
4. Payments and Refunds
All payments are processed securely through Stripe. By using our platform, you authorize us to charge your payment method for services booked.
Refund Eligibility: Refunds are processed according to each service provider's cancellation policy, typically within 5-10 business days.
Disputes: Payment disputes must be raised within 30 days of the transaction. We will investigate and respond within 10 business days.
Subscription (Business Owners): Business accounts are billed monthly starting at £25.99/month which includes one staff member seat. Additional staff seats are charged at £5.99/month each. Billing is managed securely through Stripe and subscriptions can be cancelled at any time via your billing portal — cancellation takes effect at the end of the current billing period.
Boost Listing: Sponsored placement is a one-time payment of £6.99 per day or £34.99 per week. Boosts activate immediately upon payment and expire automatically at the end of the purchased period. No refunds are issued for unused boost time once activated.
Partnership Plans: Monthly partnership and sponsorship agreements are subject to separate written agreements. Cancellation requires 30 days written notice to prospaceagency@gmail.com.
5. Space Rentals and Applications
Space rental agreements are between the renter and the space owner. Pro Space Platform facilitates booking only and is not a party to the rental agreement. Insurance verification is recommended before occupying any space.
6. Reviews and Ratings
You agree not to:
- Post false, defamatory, or abusive reviews
- Post reviews for competitors or fake bookings
- Share personal information of service providers
- Post spam or promotional content
Violating review guidelines may result in removal of reviews and account suspension.
7. Prohibited Activities
You agree not to:
- Use the platform for illegal purposes
- Attempt to bypass payment or security systems
- Harass, threaten, or abuse other users
- Circumvent booking fees or redirect customers outside the platform
- Upload malware, viruses, or harmful content
- Scrape or extract data from the platform
8. Limitation of Liability
Pro Space Platform is provided "as-is" without warranties. To the maximum extent permitted by law, we are not liable for:
- Service quality or outcomes from service providers
- Lost bookings, income, or business interruption
- Data loss or unauthorized access to your account
- Disputes between users (customers, stylists, salon owners)
- Technical outages or platform unavailability
Our maximum liability is limited to the amount you paid for the service in the last 12 months.
9. Indemnification
You agree to indemnify and hold Pro Space Platform harmless from any claims, damages, or expenses arising from your use of the platform or violation of these terms.
10. Service Provider Responsibility
Service providers are independent contractors, not employees of Pro Space Platform. They are solely responsible for the quality, legality, and safety of services offered. Pro Space Platform does not verify qualifications or insurance.
11. AI-Powered Features
Pro Space Platform includes AI-powered features including an AI Receptionist, AI Business Analyst, and AI writing assistance tools. By using these features you acknowledge and agree that:
- AI responses are generated automatically and may not always be accurate, complete, or appropriate for your specific situation
- The AI Receptionist communicates on behalf of your business — you are solely responsible for reviewing its configuration, responses, and any interactions it has with your customers
- AI-generated content including descriptions, marketing campaigns, and business analyses should be reviewed before use and we accept no liability for decisions made based on AI outputs
- Conversation data may be processed to generate AI responses — data is handled in accordance with our Privacy Policy
- We reserve the right to modify, limit, or withdraw AI features at any time
12. Account Suspension and Termination
We reserve the right to suspend or terminate accounts that violate these terms, including but not limited to: fraud, harassment, repeated policy violations, or illegal activity. Termination may result in forfeiture of balances.
13. Changes to Terms
We may update these terms at any time. Continued use of the platform constitutes acceptance of the updated terms. We will notify you of material changes via email.
14. Governing Law
These terms are governed by the laws of the United Kingdom. Disputes shall be resolved in the courts of the UK, or through arbitration if mutually agreed.
